This policy explains what we do with any personal information you give us through this website.

Who we are

Soul Tonic Ltd is a UK registered company, number 09932833, based in London. We run samba percussion workshops, live music, a record label and audio services.

We're the data controller for the information collected through this website, which means we're responsible for looking after it.

What we collect

When you fill in our enquiry form, we collect your name, email address, phone number, and whatever you tell us about your booking. That includes your organisation, where you're based, the type of booking, your date, rough numbers, and anything you write in the message box.

We only collect what you type in. We don't buy lists, and we don't gather information about you from anywhere else.

When you visit the site, our web host keeps standard server logs. These include your IP address, the pages you looked at, and the time you visited. That happens automatically on every website and it's used to keep the site running and secure.

We don't use Google Analytics or any other tracking or advertising tools on this website. Nobody is following you around the internet on our behalf.

Why we use it, and what allows us to

We use your enquiry to reply to you, work out whether we can help, give you a price, and arrange the booking if you go ahead.

Our lawful basis is legitimate interests. You've contacted us asking about a service, and replying to you is what you'd reasonably expect us to do with the details you sent.

If we go on to work together, we'll also use your details to arrange the session and invoice you, which is necessary to perform our contract with you. Invoices and related records are kept because we're legally required to keep them.

We won't add you to a mailing list or send you marketing you haven't asked for.

How long we keep it

Enquiries that don't lead to a booking are deleted after two years.

If you become a customer, we keep your details for as long as we're working together, and then for six years afterwards because HMRC requires us to keep financial records for that long.

Who else sees it

Your information is held in our email account and on our web hosting. We use the following companies to run those services, and they process your information on our behalf:

• Hostinger, who host this website
• Google, whose email service we use to receive and reply to enquiries

We don't sell your information, and we don't share it with anyone else unless the law requires it.

Cookies

This website uses cookies that are necessary for it to work properly and stay secure. It doesn't use analytics, advertising or tracking cookies.

You can block or delete cookies in your browser settings, though some parts of the site may not work properly if you do.

Your rights

You have the right to:

• Ask what personal information we hold about you, and get a copy
• Have anything inaccurate corrected
• Ask us to delete your information
• Object to us using it, or ask us to restrict how we use it
• Ask for your information in a portable format

Email info@soultonic.org and we'll deal with it within one month. There's no charge.

If you're not happy

Please tell us first and we'll do our best to sort it out.

You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator. They're at ico.org.uk, or on 0303 123 1113.

Children

This website isn't aimed at children, and we don't knowingly collect personal information from anyone under 16 through it.

Where we run workshops in schools, any information about pupils stays with the school. We don't collect or keep it.

Changes to this policy

If we change this policy we'll update the date at the top. If the change is significant, we'll say so on the website.
